General conditions applicable to platform use, registration processes, badge acquisition, and attendance rules for the III International Aeronautics and Space Congress (CIAC 2026).
These General Conditions regulate the legal relationship derived from the registration processes, badge purchases, and attendance at the III International Aeronautics and Space Congress (CIAC 2026), organized by the Canary Islands Aerospace Cluster (hereinafter, "the Organization"). By completing their registration, the user expressly accepts these terms and conditions without reservations.
1. Object and Scope of Application
The object of these conditions is to establish the rules of participation in CIAC 2026. These conditions apply to all accredited attendees, speakers, sponsors, exhibitors, and media personnel. The Organization reserves the right to update this document due to organizational needs or legislative changes.
2. Registration Process and Badges
- Nominal Character: All badges issued for CIAC 2026 are strictly personal and non-transferable.
- Identification: To collect the physical badge at the venue, it is mandatory to present the registration confirmation along with a valid and official identity document (DNI, NIE, or Passport).
- Mandatory Use: The badge must be worn in a visible place throughout the entire stay within the congress facilities. Security personnel may request bearer identification at any moment.
- Loss or Theft: In case of loss or misplacement, badge reissuance will be subject to identity verification and may incur administrative management fees.
3. Access Conditions to the Venue (ITER Venue)
The Technological and Renewable Energy Institute (ITER) is a strategic technological facility. Therefore, access is subject to compliance with strict security regulations:
- Right of Admission: The Organization and ITER security personnel reserve the right of admission, being authorized to deny access or remove from the venue any individual who violates these rules, exhibits disruptive behavior, or poses a risk to the event's security.
- Prohibited Items: Access with weapons, sharp objects, flammable substances, explosives, or any element capable of causing harm to the integrity of individuals or facilities is strictly prohibited.
- Inspections: Upon entering the venue, attendees agree to submit to preventive security checks of their belongings if requested by authorized personnel.
4. Cancellation and Refund Policy
Purchased badge cancellations will be subject to the following refund policy:
- Cancellations communicated in writing to info@ciac.org.es more than 60 days prior to the start of the congress: 100% refund (deducting bank fees).
- Cancellations communicated between 59 and 30 days before the event: 50% refund of the amount paid.
- Cancellations with less than 30 days notice: Not entitled to a refund, except in documented cases of extreme force majeure (severe illness or government mobility restrictions).
5. Program Modifications
The Organization makes its best efforts to guarantee compliance with the published scientific and commercial program. However, it reserves the right to modify schedules, alter the session order, or replace speakers due to causes of force majeure, last-minute illnesses, or operational logistical contingencies. These alterations will not grant the right to claims or badge fee refunds.
6. Intellectual Property and Copyright
All materials, presentations, lectures, and contents displayed during CIAC 2026 are protected by intellectual property laws.
- Recording Prohibition: Video recording, live broadcasting (streaming), or full audio capture of the lectures is not permitted without the express, prior, and written authorization of the Organization and the affected speaker.
- Promotional Material: Photographs or short clips captured by attendees for dissemination on personal or corporate social networks are permitted, provided they do not infringe on confidentiality agreements or third-party commercial rights.
- 7. Governing Law and Jurisdiction
These General Conditions shall be governed by and construed in accordance with Spanish legislation. For the resolution of any controversy, litigation, or discrepancy that could arise from the interpretation or execution of this contract, the parties expressly agree to submit to the jurisdiction and competence of the Courts and Tribunals of the city of Santa Cruz de Tenerife, expressly waiving any other jurisdiction that might correspond to them.
